Pause, close, reopen or delete a job

After a job is posted: take it off your careers page, put hiring on hold, close it, bring it back, or delete it, and know what each one does to the candidates and to the careers page.

For: HRPlan: Team and Advanced

Before you start

  • A role that lets you manage recruitment. In the built-in set, administrators have that permission, and so do members of the “HR Managers” group. Without it the menu button in step 1 is not shown.
  • A job that already exists. Creating and publishing one is steps 1 to 3 of Hire someone.

A job is in one of six states, and the state decides who can see it:

  • “Draft”: not open yet.
  • “Open”: hiring inside the company only. It is not on the careers page.
  • “Published”: on your public careers page and in the job-board feeds. Only a published job is listed there, and only a published job takes applications from the careers page.
  • “On Hold”: paused.
  • “Closed”: you stopped it.
  • “Filled”: someone was hired. Zonitix sets this itself when a candidate for a draft, open or published job is hired.

None of the actions below removes, rejects or emails a candidate. Candidates already in the job stay where they are.

Find the job's menu

  1. Step 1: Open the job and its menu

Go to HR & TalentJob Postings and click the job in the list. The boxes above the list filter it: jobs that are open, published or on hold are counted under “Live”, and closed and filled jobs under “Filled / closed”.

At the top right of the job, click the button with three dots. The menu always has “BUDGET IMPACT”, “EDIT JOB” and “DELETE”; the lines between them depend on the job’s state, as the steps below say.

Pause it

  1. Step 2: Take it off the careers page but keep hiring

On a published job, choose “UNPUBLISH (KEEP OPEN INTERNALLY)” in the menu, or click “Unpublish” in the panel under the job’s title. The job changes to “Open”.

It leaves the careers page and the job-board feeds, and a visitor who still has the link is told the position is no longer open. Inside Zonitix nothing else changes: you keep working its candidates.

To list it again, click “Publish to careers page” in the same panel.

  2. Step 3: Put it on hold

On an open or published job, choose “PUT ON HOLD”. The panel under the title now reads “On hold” and “Not taking new applicants until it is resumed.” A published job comes off the careers page and the feeds at the same moment.

To start again, click “Resume hiring” in the panel, or choose “RESUME (REOPEN)” in the menu. The job comes back as “Open”, not published: click “Publish to careers page” if it should be public again.

Close it, or bring it back

  1. Step 4: Close the job

Choose “CLOSE JOB”. The line is offered on every job that is not already closed or filled.

A draft, open or on-hold job closes at once. For a published job a window titled “Close this published job?” opens first. It says that closing takes the posting off the careers page and job boards and stops new applications, that candidates already in the pipeline are kept, and that you can reopen it later. Click “Close job”, or “Keep it published” to change nothing.

You do not close a job because you hired for it: that job is already “Filled”, and its menu has no “CLOSE JOB” line.

  2. Step 5: Reopen a closed job

On a closed job, choose “REOPEN”. It comes back as “Open”, with the candidates it had. Publish it again if it should be on the careers page.

The job’s budget must still be approved. If it is not, the job stays closed and a message says Finance has to approve the budget first; see step 2 of Hire someone.

A filled job has no “REOPEN” line. To hire for the same role again, create a new job.

Delete it

  1. Step 6: Delete a job that has no candidates

Choose “DELETE”. A window titled “Delete job posting?” asks you to confirm and says it cannot be undone. Click “Delete”.

Zonitix refuses if any candidate is linked to the job, so deleting is for a job created by mistake. For a job that has had applicants, close it instead: a closed job keeps its candidates and its history.

The starter offer letter and interview guide that were made for the job are not deleted with it. They stay on HR & TalentTemplates, where their scope now reads “Global”.

What you should see

A message at the bottom of the screen confirms each action. From the three-dot menu it is “Job put on hold.”, “Job resumed.”, “Job closed.”, “Job reopened.” or “Job posting deleted.” The buttons on the job itself show a message that names the job instead: that it is open again, that it is live on the careers page, or that it is off the careers page and job boards and still open internally.

In the list, the line under the job’s name changes to match: “On hold”, “Closed” or “Filled”, or “Open” or “Published” with the number of applicants.

Each change of state is added to the job’s “Approvals & activity” tab.

If something goes wrong

There is no button with three dots on the job
Your role does not let you manage recruitment. Ask an HR manager or an administrator.
"This requisition cannot be opened or published until Finance approves the headcount budget."
You tried to reopen, resume or publish a job whose budget is not approved. A Finance approver who did not create the job must approve it first. Nothing was changed.
"Cannot delete job with active candidates. Please move or reject candidates first."
At least one candidate is linked to the job. Close the job instead of deleting it; a closed job is off the careers page and keeps its candidates.
A message says changing the pay sends the job back to Finance, so it cannot stay open or published
You edited the pay on a job that is open or published. Nothing was saved. Choose EDIT JOB again, set Status to Draft (Internal Only) and enter the new pay in the same save. The job then shows under Awaiting budget, where a Finance approver sees Approve budget. Once it is approved, click Publish or Open internally on the job. Do not put the job on hold for a pay change: an on-hold job offers only Resume hiring, so nobody would be shown the button to approve the budget.
You reopened or resumed a job and it is not on the careers page
That is expected: both bring the job back as Open, which is internal only. Click Publish to careers page on the job.
A candidate says the link to the job stopped working
The job is no longer published, so the careers page tells visitors the position is no longer open. Anyone who had already applied is still in your pipeline.
