Run an interview and submit your scorecard

For anyone asked to interview a candidate: find the interview, use the prepared questions, rate the answers and send your recommendation.

For: AnyonePlan: Team and Advanced

Before you start

  • You can see My WorkMy Interviews in the left menu. It is shown to people whose role lets them conduct interviews. In the built-in set, administrators have that permission, and so do members of the “HR Managers” group. The “hiring_manager” and “interviewer” roles have it too; no group carries them, so an administrator gives one to a person by hand, as Roles, groups and permissions shows.
  • Someone in hiring has assigned you an interview. You get a notification in Zonitix (the bell) and an email.

Before the interview

  1. Step 1: Open My Interviews

Go to My WorkMy Interviews. Interviews you still have to hold are under “TO CONDUCT”. Each card shows the candidate, the role, the date and time, and which round it is.

  2. Step 2: Prepare

Click “CV” to read the candidate’s résumé. Click “CALENDAR” to download a file that adds the interview to your own calendar.

During or straight after

  1. Step 3: Open the scorecard

Click “CONDUCT INTERVIEW”. The prepared questions for this round are listed. Where the hiring team wrote one, “What a good answer looks like” is shown under the question. A question tagged “MUST-HAVE” covers something the role cannot do without.

  2. Step 4: Rate each answer

Give each answer a rating from 1 to 5. Unless the hiring team wrote their own descriptions, 1 means well below the bar, 3 means meets the bar and 5 means outstanding. Add notes under a question in “Notes on the answer…”.

If you asked something that was not on the list, type it under “My questions” and add it to the scorecard.

  3. Step 5: Recommend and summarise

Under “Recommendation”, choose “STRONG HIRE”, “HIRE”, “NO HIRE” or “STRONG NO”. In “Overall feedback”, write a short summary. This is what HR and the hiring manager read.

  4. Step 6: Submit

Click “SUBMIT SCORECARD”. It needs at least one rated question and the overall feedback.

Write what you saw and heard in the interview, and judge it against the questions. Your scorecard is kept with the candidate’s record. You can correct it with “Edit” until the candidate is hired or rejected; after that it is locked.

What you should see

A green message: “Scorecard submitted!”

The interview moves to “SUBMITTED”, with your recommendation, your score out of 5 and the label “Editable”.

If something goes wrong

"No interviews to conduct"
Nothing is assigned to you at the moment. If you were expecting one, ask the person running the hiring to assign you on the candidate.
The SUBMIT SCORECARD button is greyed out
Hover over it. Either no question is rated yet, or the overall feedback is empty.
The CV button is greyed out
No résumé is stored for this candidate. Ask the person running the hiring.
An interview is marked Overdue
Its time has passed and no scorecard has been submitted. Submit yours. If the interview did not take place, tell the person running the hiring so they can cancel or reschedule it.
Your scorecard shows "Locked · decided"
The candidate has been hired or rejected, so scorecards can no longer be changed.
