Interviews & Scorecards

This page describes assigning interviews, the candidate’s scheduling page, the interviewer’s list and the reminders. Recruitment is included from the Team plan. This page is part of the reference Recruitment & Hiring.

What It Does

  • A fixed time. You pick the interviewer and the time, and the interviewer and the candidate are each emailed a calendar invite. If the interviewer already has a scheduled Zonitix interview that overlaps, the request is refused.
  • The candidate picks. You offer at least two future times, and at most ten are kept. The candidate opens a page from their email, with no login, and picks one; the calendar invite then goes to both sides. If email is not set up the invitation is not sent.
  • Shadow interviews. For a trainee sitting in. A shadow interview’s scorecard does not count towards the scorecard needed before an offer.
  • Reschedule and cancel. Rescheduling sets a new time and sends updated invites. Cancelling sends a cancellation to both calendars and switches off any time-picking link. A completed interview can be neither rescheduled nor cancelled.
  • The scorecard. The interviewer rates the template’s questions, picks strong hire, hire, no hire or strong no, and writes feedback. A submitted scorecard stays editable until the candidate is Hired or Rejected.
  • Reminders. A check runs every 15 minutes. It reminds the interviewer once when a scheduled interview is less than 24 hours away, and once more when the interview time passed over 24 hours ago and no scorecard has been submitted.

Interviews And Scorecards

Interviews are assigned on a candidate’s “Interviews” tab by people who manage recruitment, conduct interviews or schedule interviews. Each interview has one interviewer, an optional interview template whose questions become the scorecard, and either a fixed time or a set of times the candidate chooses from.

A Fixed Time

Pick the interviewer and the time and click “ASSIGN”. The interviewer and the candidate are each emailed a calendar invite (.ics). If the interviewer already has a scheduled Zonitix interview that overlaps, the request is refused.

The Candidate Picks

Switch on “LET THE CANDIDATE PICK A TIME”, add the options and click “SEND TIME OPTIONS”. At least two future options are needed and at most ten are kept. Options that overlap the interviewer’s other scheduled interviews are dropped; if fewer than two remain the request is refused.

Shadow Interviews

Switch on “SHADOW INTERVIEW” for a trainee sitting in. A shadow interview’s scorecard does not count towards the scorecard needed before an offer.

Reschedule And Cancel

“RESCHEDULE” sets a new time and sends updated invites; a clash with the interviewer’s other interviews is shown first, with “Reschedule anyway” to go ahead. “CANCEL” calls the interview off, sends a cancellation to both calendars and switches off any time-picking link. A completed interview can be neither rescheduled nor cancelled.

The Candidate’s Scheduling Page

The candidate gets an email titled Pick a time for your interview with a “Choose your time” button. It opens a page on your instance, with no login. They pick one of the offered times, and the normal calendar invite then goes to both sides. If email is not set up the invitation is not sent, so check outbound email before relying on this. The page shows a plain message when the link can no longer be used:

  • Already scheduled: a time was already picked.
  • Cancelled: cancelling an interview removes its link, so the candidate reads that the link is no longer valid, the same answer as an unknown link.
  • No longer active: the candidate has since been rejected or hired.
  • All times have passed: the recruiter needs to send new options.
  • Time just taken: the interviewer was booked at that time in the meantime; the candidate picks another.
  • Unknown link: the candidate reads that the link is no longer valid.

My Interviews

My WorkMy Interviews lists the interviews assigned to the signed-in person: those still to do, soonest first, and those already submitted. Each shows the time, the round and a button to download an .ics file for a calendar. An interview whose time has passed with no scorecard is marked “Overdue”. The interviewer rates the template’s questions, picks one of “STRONG HIRE”, “HIRE”, “NO HIRE” or “STRONG NO”, writes feedback and clicks “SUBMIT SCORECARD”.

  • Editing. A submitted scorecard stays “Editable” until the candidate is Hired or Rejected. After that it shows “Locked · decided” and changes are refused.
  • Score. An overall score, when given, must be between 1 and 5.
  • Cancelled interviews. A scorecard cannot be submitted for one.

Reminders To Interviewers

A check runs every 15 minutes. It reminds the interviewer once when a scheduled interview is less than 24 hours away, and once more when the interview time passed over 24 hours ago and no scorecard has been submitted. Each reminder is a notification in Zonitix linking to My Interviews, plus an email when the interviewer has an address and outbound email is set up. Rescheduling an interview arms both reminders again for the new time. No reminder is sent for a candidate who is already Rejected or Hired.

The plain explanation is above. This part is for IT and developers: the exact settings, permission names, API addresses and data fields behind it. Closed: select the heading above to open it. While it is closed, your browser’s find-on-page (Ctrl+F or Cmd+F) does not search this part.

Routes, Permission Checks And Refusal Codes

Where the sections above say “a person who manages recruitment” or “is refused”, this is the permission that is checked and the answer the API gives. Paths are written as in the API reference.

Interviews And Scorecards

POST /recruitment/candidates/:id/interviews assigns a fixed time and POST /candidates/:id/interviews/propose sends options; PATCH /interviews/:id/reschedule and POST /interviews/:id/cancel (reason up to 500 characters) change one. All four take manage_recruitment | conduct_interview | schedule_interviews. POST /interviews/:id/scorecard takes manage_recruitment | conduct_interview. An overlapping fixed time, or fewer than two options left once overlapping ones are dropped, answers 409 with the code DOUBLE_BOOKED; fewer than two future options answers 400 NOT_ENOUGH_SLOTS. Rescheduling or cancelling a completed interview answers 409. A change to a scorecard after the candidate is Hired or Rejected answers 409 SCORECARD_LOCKED, an overall score outside 1 to 5 answers 400 INVALID_SCORE, and a scorecard for a cancelled interview answers 409 INTERVIEW_CANCELLED.

The candidate’s scheduling page reads GET /recruitment/public/self-schedule/:token and books with a POST to the same path; both are public and rate-limited, and a time that was not among those offered is refused with 400. When the link can no longer be used the answers are:

  • Already scheduled: 410 when opening the page, 409 when submitting.
  • Cancelled, or an unknown link: 404. Cancelling an interview removes its link.
  • Candidate since rejected or hired: 410.
  • All times have passed: 410.
  • Time just taken: 409.
