Offers & The Offer Portal

This page describes the offer steps, the scorecard rule, the candidate’s offer portal and when the portal closes. Recruitment is included from the Team plan. This page is part of the reference Recruitment & Hiring.

What It Does

  • The four steps. Set the terms, a second person approves, send for signature, signed.
  • The scorecard rule. It is on unless you turn it off. While it is on, terms cannot be set, and an offer cannot be sent or marked signed, while a scheduled interview still has no scorecard. Administrators are held to it too.
  • Before and after signing. Before the candidate signs, withdrawing the offer cancels the signing link and returns the offer to draft. After signing, the only way back is to rescind the offer with a reason, approved by a different person (an administrator may approve their own request).
  • The candidate’s portal. A private page on your instance that needs no login: the link is the key, so it should reach only the candidate. It points the candidate to the signing link in their email. After signing, the candidate picks an operating system and enters a shipping address and a personal email for first-day details. It also shows the links and files attached to the offer letter template.
  • When the portal closes. At once when the candidate is rejected or the offer is withdrawn, declined or rescinded. Otherwise after the end of the start day, or seven days after sending for an offer that has no start date.
  • Language. The candidate’s pages are shown in English or Spanish, following the candidate’s browser language, and in English for any other language.

Offers

An offer goes through four steps: set the terms, a second person approves, send for signature, signed. The guide Hire someone walks through the buttons; the letter itself is covered in Managing Offer Templates and signing in Zonitix Sign. Approvers work from HR & TalentOffer Approvals.

The Scorecard Rule

On the “Hiring policies” page, the “Scorecards before offer” card has the switch “Require all interview scorecards before an offer”. It is on unless you turn it off. While it is on, terms cannot be set, and an offer cannot be sent or marked signed, while a scheduled interview still has no scorecard; the message names the interviewers. Administrators are held to it too.

Before And After Signing

Before the candidate signs, “Withdraw offer” cancels the signing link and returns the offer to draft. After signing, the only way back is “RESCIND OFFER” with a reason, approved by a different person with “APPROVE RESCISSION”.

The Candidate’s Offer Portal

Alongside the signing link, each candidate with an offer has a private page on your instance. It needs no login: the link is the key, so it should reach only the candidate. The page greets the candidate by name and has these parts:

  • 1. Review & Sign. Points the candidate to the signing link in their email, and shows Document Signed! once they have signed.
  • 2. Equipment & Logistics (after signing). The candidate picks an operating system (macOS, Windows or Linux), enters a shipping address and a personal email for first-day details, and clicks “CONFIRM EQUIPMENT SELECTION”. What happens to that choice is described in Signed Offer To Onboarding (Zero-Touch).
  • Documents & resources. The links and files attached to the offer letter template when the offer was sent.
  • 2. Next Steps (3. What’s Next? once signed). A short explanation of onboarding.

When The Portal Closes

WhenWhat The Candidate Reads
At once, when the candidate is rejected, or the offer is withdrawn (back to draft), declined or rescinded.“This offer is no longer active. Please contact HR.”
After the end of the start day, for an offer that has a start date.“Your onboarding is complete — welcome aboard! Your manager will be in touch.”
Seven days after sending, only for an offer that has no start date.“This onboarding link has expired. Please contact HR.”

So the seven-day limit is the window for signing. Once the offer is signed, the portal link is extended to the end of the start day, and the attached documents stay downloadable until then.

Language Of Candidate Pages

The careers pages, the interview scheduling page, the signing page and this portal are shown in English or Spanish, following the candidate’s browser language, and in English for any other language. Adding ?lang=es or ?lang=en to a link forces one. There is no instance-wide language setting for these pages.

If something here is not working as you expect, start with When something goes wrong.

The plain explanation is above. This part is for IT and developers: the exact settings, permission names, API addresses and data fields behind it. Closed: select the heading above to open it. While it is closed, your browser’s find-on-page (Ctrl+F or Cmd+F) does not search this part.

Routes, Permission Checks And Refusal Codes

Where the sections above say “a person who manages recruitment” or “is refused”, this is the permission that is checked and the answer the API gives. Paths are written as in the API reference.

The portal reads GET /recruitment/public/portal/:token, downloads an attached file from GET /public/portal/:token/document/:docId and saves the equipment choice with POST /public/portal/:token/hardware. All three are public and rate-limited and apply the same closing rule; saving a choice on a closed portal answers 410 with the code PORTAL_CLOSED.
