Refer someone for a job

For every employee: put forward someone you know for a role your company is hiring for, and follow how far they get.

For: Every employeePlan: Team and Advanced

Before you start

  • Nothing special. Referrals are open to every employee by default. If “Internal Referrals” is missing from your sidebar, your company either does not use Zonitix for hiring or has switched referrals off for your role.
  • The person’s first name, last name and email address. Ask them first: you are about to share their details with your hiring team.
  • Optional: their résumé as a PDF or Word (DOCX) file, up to 5 MB.

Steps

  1. Step 1: Open Internal Referrals

Go to My WorkInternal Referrals. The page is headed “Employee Referrals”. On the left, “OPEN POSITIONS” lists the roles you can refer someone to. On the right, “MY REFERRALS” lists the people you have already referred.

  2. Step 2: Pick the role

Find the role in “OPEN POSITIONS”; type in the search box above the list to narrow it by title or department. Click “REFER” on that role. A window titled “Refer to” followed by the role name opens.

You can also click “SUBMIT REFERRAL” at the top of the page and choose the role from “Select Target Job” in the window. A referral always goes to one role, so the window cannot be sent until a role is chosen.

  3. Step 3: Enter the person's details

Fill in “First Name”, “Last Name” and “Email Address”; these three are required. “Phone Number” is optional. Use “Recommendation / Why are they a good fit?” to tell the hiring team how you know them and why you are putting them forward.

  4. Step 4: Attach a résumé (optional)

Under “UPLOAD CANDIDATE RESUME”, click “BROWSE FILES” and pick the file. The box changes to “RESUME ATTACHED” and shows the file name; click “CHANGE FILE” if you picked the wrong one.

  5. Step 5: Send it

Click “SUBMIT REFERRAL”. The person is added to that role’s candidates, marked as a referral from you, and the hiring team takes it from there.

  6. Step 6: Follow their progress

Your referral appears under “MY REFERRALS” with the “TARGET ROLE”, a “CURRENT STATUS” and the “PIPELINE STAGE” they have reached. The status starts as “PENDING” and can move to “REVIEWED”, “HIRED” or “REJECTED”. You also get a notification in Zonitix when the status changes.

The four tiles at the top count your referrals: “Total Referrals”, “Active Pipelines”, “Hired Candidates” and “Success Rate” (hired out of total).

You see only your own referrals, and only their status and stage. Interview notes, scores and offer details stay with the hiring team.

What you should see

A green message reads “Referral submitted successfully!” and the window closes.

The person is listed under “MY REFERRALS” with the status “PENDING”.

If something goes wrong

A red message says the person already exists for this job
Someone with that email address has already applied or been referred for that role, so a second entry is not created. Tell the hiring team you know the person.
The "SUBMIT REFERRAL" button in the window is greyed out
No role is chosen. Pick one from "Select Target Job" at the top of the window.
Fields turn red when you click submit
A first name, a last name and a valid email address are required. Fix the fields marked in red and click again.
"No open positions right now."
There is no role open for referrals at the moment. Check again later, or ask your HR team.
You see a screen headed "License Required"
Your company’s plan does not include Recruitment, so referrals are not available. Ask your HR team how to recommend someone.
