Sign in for the first time (employee)

For every employee: open your invitation, choose a password, add a second proof of who you are if your company asks for one, and reach your dashboard.

For: Every employeePlan: All plans

Before you start

  • An email titled “You have been invited — set your password”. An administrator at your company sends it when they add you. If you have not had one, ask them.
  • The link in it works once and expires 72 hours after it was sent. The email shows when under “Link expires”.
  • If your company asks for a second proof at sign-in (MFA): a phone with an authenticator app (Google Authenticator, Microsoft Authenticator or Okta Verify), or a device with a fingerprint reader, Face ID or a security key. You also need somewhere safe to keep ten recovery codes.
  • If your company signs in to Zonitix with its own Okta, Microsoft or Google accounts, you get no invitation. Skip to the last section.

Choose your password

  1. Step 1: Open the invitation

In the email, click “Set your password”. A page titled “Set your password” opens, with your company’s name or logo above it and your email address in the first line.

  2. Step 2: Type a password twice

Enter it in “New password” and again in “Confirm password”. The eye button in the first box shows what you typed.

Under the boxes is the list of your company’s password rules. Each rule gets a green tick as your password meets it.

  3. Step 3: Save it

Click “Set password”. The button stays grey until every rule is ticked and both boxes match.

You are taken to the sign-in page, with your email filled in and the message “Password set. Sign in to finish setting up your account.” Setting the password does not sign you in by itself.

  1. Step 4: Enter your password

Type the password you just chose and click “SIGN IN TO PLATFORM”.

  2. Step 5: Accept the terms, if you are asked

If a box appears reading “One more step: accept the Privacy Policy and Terms of Service to finish signing in.”, both documents are linked next to it. Tick the box and click the button, which now reads “ACCEPT & CONTINUE”.

  3. Step 6: Add your second proof, if you are asked

If your company or one of your groups requires MFA, a window titled “Setup Secure MFA” opens. Under “Choose how to secure your account”, pick one:

    • “Passkey”: follow your browser’s prompt to use your fingerprint, Face ID or a security key. This option only appears if your browser supports passkeys.
    • “Authenticator App”: scan the QR code with the app on your phone, click “I’ve scanned it — enter code”, type the 6-digit code the app shows, and click “VERIFY & ACCESS”.

If no such window opens, your company does not ask you for a second proof, and you are signed in.

  4. Step 7: Save your recovery codes

The next window, “Save Your Recovery Codes”, shows ten codes. Each works once. Click “Copy codes” or “Download” and keep them somewhere safe that is not the phone you just set up.

Then click “I HAVE SAVED MY CODES”.

If you lose your phone or passkey, a recovery code is how you get back in by yourself. Without one, an administrator at your company has to reset your second proof.

If your company uses single sign-on

  1. Step 8: Use the company button instead

Open the Zonitix address your company gave you. On the sign-in page, click the button for your company account: “SIGN IN WITH OKTA”, “SIGN IN WITH MICROSOFT”, “SIGN IN WITH GOOGLE” or “SIGN IN WITH SSO”. You sign in there with the account you already have, and you do not choose a Zonitix password.

You may still be asked to accept the terms (step 5).

What you should see

Your dashboard. From now on you sign in with your email and password, plus your passkey or a code from your app if you set one up.

What is on the screen is explained in Find your way around Zonitix. Anything you have been asked to do, such as a course or a policy to sign, is in Your to-do list.

If something goes wrong

"This invitation link is invalid, has expired, or has already been used. Ask your administrator to send a new one."
The link works once and for 72 hours. Ask an administrator at your company to resend your invitation. When they do, any older link stops working, so use the newest email.
"We couldn’t check your invitation just now"
The page could not reach the server. Your link has not been used up. Wait a moment and click Try again.
The Set password button stays grey
Look at the list of rules under the boxes: any rule without a green tick is not met yet. If the second box shows "Passwords do not match", type the same password in both.
You set a password but cannot find where to sign in
Open the Zonitix address your company gave you. If you only have the invitation email, click its button again: the page says the link has been used and offers Go to sign in.
You closed the recovery codes window without saving them
You can make a new set from your profile once you are signed in. See Your profile and sign-in security.
You never received the invitation
Check your spam folder, then ask an administrator at your company. They can see whether an invitation is pending or expired and send it again.
