Find your way around Zonitix

Know what is on the screen after you sign in: the left menu, the search box, the notification bell and the dashboard, and where your profile and the sign-out button are.

For: AnyonePlan: All plans

Before you start

  • No particular role. You only need to be signed in. If you have not signed in yet, see Sign in for the first time. If you are the person setting up a new instance, see First sign-in instead.
  • What you see depends on your role and on your company’s plan. A menu item described here that you cannot find is one your role or plan does not include.

The left menu

  1. Step 1: Read the menu from top to bottom

Your company’s name and logo are at the top. Below them the menu is split into groups, each with a heading in capitals. Click a heading to open or close its group.

    • My Work. Your own things, whatever your job. It can hold: Time Off, My Goals, Reviews, My to-do, Surveys, My Team, Submit Invoice, My Compliance Tasks, My Interviews, Internal Referrals.
    • Analytics. The big picture. It can hold: Dashboard, Org Chart, Report Engine.
    • Training. For whoever runs training and policy signing. It can hold: Overview, Courses, Paths, People, Policy Signatures, Phishing Simulation, Settings.
    • HR & Talent. Employee records and hiring. It can hold: People, People Reports, Payroll Hand-off, Review Cycles, Manage Surveys, HR Settings, Recruitment Overview, Job Postings, Candidate Pipeline, Templates, Offer Approvals.
    • Finance. Bills, vendors and budgets. It can hold: Finance, Bills, Approvals, Vendors, Budgets.
    • Execution. Step-by-step processes such as onboarding. It can hold: Workflow Builder, Workflow Tasks.
    • Administration. Who exists and what they may do. It can hold: Users, Groups, Roles, Access Control, User Personas, Departments, Data Governance.
    • Access Governance. Asking for access, reviewing it, and the systems Zonitix connects to. It can hold: Access Requests, Access Reviews, SaaS Discovery, AlignSync, Identity Hooks.
    • Devices. Company computers. It can hold: Overview, Settings, Inventory, Groups, Software, Profiles.
    • Security & Compliance. Sign-in rules, blocking and audits. It can hold: Security Settings, Threat Defense, Compliance Hub, Security Lab.
    • Cloud Infrastructure. Maps of your cloud accounts, once one is connected. It can hold: AWS Resource Map, Azure Resource Map, GCP Resource Map.
    • System. The instance itself. It can hold: System Health, Updates, Backups & Recovery, System Logs, License & Entitlements, Branding, API Tokens.

A group appears only when at least one of its items is yours to see. The guides write a place in the menu like this: My WorkMy to-do, meaning open the “My Work” group and click “My to-do”.

  2. Step 2: Find your profile and the sign-out button

They are at the very bottom of the left menu, below all the groups: “My Profile” and, in red, “Logout”. There is no separate profile menu at the top right. What is on the profile page is in Your profile and sign-in security.

  3. Step 3: On a phone or a narrow window

The left menu is hidden to save room. Tap the menu button (three lines) at the top left to open it.

The bar across the top

  1. Step 4: Search for a page or a person

Click the box that reads “Search console...”, or press Cmd+K on a Mac or Ctrl+K elsewhere. On a narrow screen the box is a magnifying-glass button instead.

A window opens with the field “Search pages, actions, or people…”. Type a few letters of what you want. Pages come first, grouped under headings such as “My Work” or “System”, then “Actions”, then “People”. Move with the up and down arrow keys and press Enter, or click a result. Press Esc to close the window.

    • Pages: only the ones you are allowed to open are listed, so this is the quickest way to find out whether a screen exists for you.
    • “Actions”: “Switch to dark theme” (or light), and “Log out”, which asks “Log out?” first so you can choose “Stay signed in”.
    • “People”: appears once you have typed two letters, and only if your role lets you view users. Choosing a person opens them on the org chart, or in the “Users” list if you cannot see the org chart.
  2. Step 5: Read your notifications

The bell at the top right carries a red number when something is waiting for you, such as a task you were given or a request to approve. Click it to open the list, headed “Notifications” with the count.

Click a notification to go to the page it is about, when it has one. Click the cross on a notification to remove just that one, or “Clear All” to empty the list. When nothing is waiting, the list reads “No recent alerts”.

  3. Step 6: Switch between light and dark

The button at the far right of the top bar switches the whole app between a light and a dark look. Hover it to read “Switch to dark mode” or “Switch to light mode”. It changes nothing but the colours.

The dashboard

  1. Step 7: Open the dashboard

Go to AnalyticsDashboard. The line under the heading greets you by first name. If you have a policy waiting, a strip near the top reads “You have 1 policy to sign” (or the number waiting) with a “Review now” button that takes you to it; see Sign a policy.

  2. Step 8: Pick a view

Under the heading is a row of tabs: “Security & Infrastructure”, “Finance & ROI”, “Operations” and “Workforce”. You see only the tabs your role allows, and the page opens on the one that fits your role. Each tab is a page of figures and charts on that subject.

  3. Step 9: Read the System Pulse label

At the top right of the dashboard, “SYSTEM PULSE” sums up your instance in a word. “OPTIMAL” in green is the normal state. “DEGRADED” names a service that is down or an uptime figure below 100%. “STABLE” is followed by your security score when it is below 90, and “AT RISK” when it is below 70.

Administrators can look further on Check system health.

  4. Step 10: If you are an administrator: the setup checklist

Until the basics are in place, administrators (and anyone who can manage security settings) also see a card titled “Get Zonitix set up”, with a count such as “2 of 7 done” and a button beside each step that opens the page where it is done. The card has seven steps; a step Zonitix cannot check for you is left out of the count. Zonitix ticks each step by itself when it detects that the step is finished. The card disappears when nothing is left, or when you click the cross (“Hide this checklist”).

On a new instance, most of the menu does not open yet. Until an administrator has finished the first stage of Set up backups, an administrator who clicks a menu item is taken to “Backups & Recovery”, and everyone else sees a panel titled “Zonitix is not ready to use yet”. The items that still open are “Users”, “Groups”, “Roles”, “Security Settings”, “System Health”, “Updates”, “Backups & Recovery”, “License & Entitlements” and “My Profile”, for the people whose role includes them. A banner across the top that starts “Zonitix is locked until”, or names a date for backups or recovery keys, is the same subject; administrators and people who can view the system pages see it.
During an update or a restore, everyone sees a notice across the top of the app. It begins “Maintenance in progress” for an update and “A restore is in progress” for a restore. Shortly before scheduled maintenance, a notice beginning “Scheduled maintenance starts” asks you to save your work. Each one clears by itself; see Apply updates.

What you should see

A menu on the left with at least “My Work” and “Analytics”, and “My Profile” and “Logout” at its foot. A search box, a bell and a light/dark button across the top.

If something goes wrong

A menu item a guide names is not in your menu.
Press Cmd+K or Ctrl+K and type its name. If it is not listed there either, your role or your company’s plan does not include it. Ask an administrator.
"DASHBOARD ACCESS RESTRICTED"
Your role does not include viewing the dashboard. Everything else you are allowed to use still works from the left menu, and a policy waiting for your signature is still shown on this page.
A page shows "ACCESS RESTRICTED" instead of its content.
You opened a page your role does not allow, for example from a saved link. Ask an administrator if you need it.
"DASHBOARD METRICS UNAVAILABLE"
The figures could not be loaded; it does not mean there is nothing to show. Click “Retry”. If it keeps happening, tell an administrator, who can look at Check system health.
Search finds pages but never a person.
People are searched only for roles that can view users, and only after two letters.
