Sign a policy
For every employee: read a company policy you have been asked to sign, confirm it, sign with your name, and keep a copy.
Before you start
- You can sign in to Zonitix. Nothing else is needed.
- A policy is waiting for you. A link in a reminder email opens the same page, on that policy.
Read and sign
Step 1: Open My to-do
Go to My WorkMy to-do. Policies to sign are at the top of “To do”, each with a date such as “Sign by …”, or “Overdue”.
Step 2: Open the policy
Click “Read and sign” on its row.
Step 3: Confirm each section
Read each section and tick “I have read and agree to this section” under it. The bar at the top counts the sections you have confirmed, and “Go to next” jumps to the first one still open.
A policy that is not split into sections has a single tick: “I have read and agree to this policy”.
Step 4: Type your name and sign
When everything is confirmed, enter your name in “Type your full name to sign” and click “Sign”.
Afterwards
Step 5: Keep a copy
The policy moves to the “Done” card on the same page. Click “Read” to see the version you signed, and “Download my signed copy (PDF)” to keep it.
What you should see
The policy shows “Signed” with the date.
If the policy has to be signed again each year or after a change, it shows a date such as “Sign again by …” and comes back under “To do” when it is due.
If something goes wrong
- The Sign button is greyed out
- Confirm every section first, then type your full name. The name box opens only when every section is ticked.
- "This policy was changed while you were reading it…"
- Nothing was signed and your ticks were cleared. The current text is now shown. Read it, confirm it again, then sign.
- "No text or link is stored for this policy. Ask its owner for the document before you sign."
- The policy has no document attached. Ask the person who sent it for the text, and do not sign until you have read it.
- "This policy is being revised."
- You are shown the version you signed before. You will be asked to sign the new one when it is approved. There is nothing to do until then.
- You do not agree with the policy
- Do not sign. Click Not now and speak to your manager or HR. You have not signed until you click Sign. The sections you already ticked are remembered so you can finish later; untick them if you do not agree.
