Use the org chart
See who reports to whom, move someone under a new manager, add a second (dotted-line) manager, and keep dated snapshots you can compare.
Before you start
- Everyone can open the org chart: it is part of the basic access every employee gets.
- To add dotted-line managers or take and delete snapshots, your role must let you manage the org chart. Administrators and the built-in “hr_manager” role can. To move someone under a new manager, your role must let you manage users as well.
- The chart is drawn from each person’s manager. If someone is missing a manager, set it on their user record first.
Read the chart
Step 1: Open it
Go to AnalyticsOrg Chart. The page is titled “Corporate Org Chart”. Each card is a person, with their job title and department. A solid line is a reporting line; a dashed line is a dotted-line report. The “LEGEND” in the corner shows the three kinds: “Manager”, “Individual contributor” and “Dotted-line report”.
Step 2: Find a person and tidy the view
Type a name in “Find someone...” to jump to a person. Use the two small toggles to switch between top-down and left-to-right, and between comfortable and compact cards. “Fit” brings the whole chart back into view.
On a card, “Focus on this chain” highlights that person’s reporting line. A manager’s card has a button to collapse or expand their reports.
Step 3: Read the numbers
The strip above the chart shows “People”, “Managers : ICs”, “Avg reports / manager”, “Largest team” and “Reporting layers”. Coloured flags next to them point to things worth a look, such as managers with very large teams or with a single report; click a flag to see who.
The “DEPARTMENTS” panel lists each department with its headcount. Click a department to filter the chart to it. A manager’s card also shows “Open reqs” when there are open job postings on their team.
Change who someone reports to
Step 4: Move a person
On the person’s card, click “Change manager”, pick the “New manager” and click “Continue”. You can also drag the card onto the new manager. Either way, a “Change reporting line” window asks you to confirm; click “Confirm move”.
A person cannot report to themselves or to someone below them in their own line; Zonitix refuses a move that would create a loop.
Step 5: Add a dotted-line manager
A dotted-line manager is a second person someone answers to, for example a project lead, without changing their main manager. On the card, click “Edit dotted-line managers”, add people under “Dotted-line managers” and click “Save”. One person can have up to 10.
Keep and compare snapshots
Step 6: Take a snapshot
A snapshot is a dated copy of the whole chart: everyone, their reporting lines and departments. Click “Snapshot”, enter a “Snapshot Name” (for example “End of Q2”) and click “Save Snapshot”.
Zonitix also takes one by itself every quarter. The “History” menu shows the date of the next one under “NEXT AUTO-SNAPSHOT”.
Step 7: Look at an old one
Click “History” and choose a snapshot under “SAVED SNAPSHOTS”. The page title changes to “Historical View” and the chart shows the organisation as it was. Nothing can be edited in this view. Click “Back to Live” to return.
Step 8: Compare two snapshots
In “History”, click the compare button on one snapshot, then click a second one. “Compare Snapshots” lists who “Joined”, who “Left” and who “Moved” between the two dates.
Step 9: Export
Click “Export” and choose “PNG image” for a picture of the chart, or “CSV data” for a spreadsheet of the whole organisation. The CSV needs a role that lets you view users.
What you should see
After a move, the person’s card sits under the new manager and the team counts update.
After a snapshot, it appears at the top of “SAVED SNAPSHOTS” in the “History” menu.
If something goes wrong
- There is no Change manager or dotted-line button on the cards
- Your role does not let you manage the org chart, or you are looking at a snapshot. Click Back to Live, or ask an administrator. Change manager also needs a role that lets you manage users.
- "A person can have at most 10 dotted-line managers."
- Remove one before adding another.
- Someone is missing from the chart, or sits on their own
- They have no manager set, or their manager has left. Use Change manager on their card, or set the manager on their user record.
- The page says "No org data yet"
- No people have been added yet, or the snapshot you opened is empty. Click Refresh, or Back to Live.
