Read the People Reports
See how many people you have, who joined and who left in a period, your turnover and how long people stay, and download the figures.
Before you start
- A role that lets you view people reports. In the built-in set, the “HR Managers” group has it.
- Start dates on your employee files. The tenure figures leave out anyone without one. See Open and maintain an employee file.
- For the leaver breakdowns, a type and a reason recorded on the “Leaving” tab of each leaver’s file. See Record that someone is leaving.
Steps
Step 1: Open People Reports
Go to HR & TalentPeople Reports. The page opens on this year so far.
Step 2: Choose the period
Click “Period” at the top right. Pick a first and a last day on the calendar, or use a ready-made range such as “This month”, “Last month”, “This quarter” or “Year to date”. The figures reload for that period.
Step 3: Read the five tiles
“Headcount” is how many people you had on the last day of the period (today, if the period runs to today), with the number at the start of the period underneath. “Joiners” started in the period. “Leavers” had their last day in the period. “Turnover” is leavers divided by average headcount, as a percentage. “Average tenure” is how long the people here today had been with you on the last day of the period, in years.
Step 4: Read the breakdowns
Six cards split the numbers: “By department”, “By location”, “By employment type”, “Tenure”, “Leavers by type” and “Leavers by reason”. Each line has a bar and the count written out.
Step 5: Download the figures
Click “CSV”. A spreadsheet file named after the period downloads with every number on the page.
What you should see
Five tiles with numbers, and six cards with bars.
A downloaded file named people-report- followed by the first and last day of the period.
If something goes wrong
- A blue box says some people have no start date on file
- The tenure figures leave those people out. Open each person under HR & Talent, People, click "Edit details" and set the Start date.
- Turnover or Average tenure shows a dash
- Turnover shows a dash when there was nobody on the headcount in that period. Average tenure shows a dash when no current employee has a start date on or before the last day of the period: open each person under HR & Talent, People, click "Edit details" and set the Start date.
- "Leavers by type" and "Leavers by reason" are empty although people left
- The type and reason have not been recorded. Open each leaver’s employee file, go to the Leaving tab and set Type and Reason.
- A message says the period you picked could not be loaded
- The page keeps showing the last period it loaded and says which one. Click Retry in the message.
- People Reports is not in the sidebar
- Your role does not let you view people reports, or your plan does not include the HR module (Team and Advanced).
