Anonymous Surveys & People Reports

This page describes how a survey stays anonymous and when its results appear, and what People Reports counts and where its figures come from. Both are included from the Team plan. This page is part of the reference HR Records, Time Off & Reviews.

What It Does

  • A survey. Up to 20 questions, each answered as agreement from 1 to 5, a recommendation from 0 to 10 or a written answer. A survey can be limited to one department.
  • How it stays anonymous. An answer sheet is stored with no user id and no timestamp. Separately, the invite records only whether the person has responded. Nobody, HR included, can tie a sheet to a person.
  • When results appear. Results are combined figures only. They appear only after the survey is closed and only if at least 5 people answered; below that nothing is shown. There is no breakdown by department or person, and written answers come back in shuffled order.
  • One go. A person answers once, with no draft, and cannot change it afterwards. Opening a survey emails every active person in the audience, and after that the questions and audience are fixed. A survey whose audience is smaller than 5 people is refused. Closing cannot be undone.
  • People Reports. For a period you choose it shows headcount, joiners, leavers, turnover and average tenure, with six breakdowns and a CSV download. It holds counts and averages, never a list of named people, and a group of fewer than three is shown together as “Other”.

Anonymous Surveys (Included From Team)

My WorkSurveys shows each person the open surveys “For you to answer”. People with the permission to run surveys do so from HR & TalentManage Surveys, which holds “New survey”, “All surveys” and “Trends”. For the step-by-step, see the guide Run an anonymous survey. A survey has up to 20 questions, each answered as “Agree, 1 to 5”, “Recommend, 0 to 10” or “Written answer”, and can be limited to one department.

How The Anonymity Works

An answer sheet is stored with no user id and no timestamp. Separately, the invite records only whether the person has responded, with no time. The two are written in one step and never point at each other, so nobody answers twice and nobody, HR included, can tie a sheet to a person.

When Results Appear

Results are combined figures only. They appear only after the survey is closed and only if at least 5 people answered; below that nothing is shown. There is no breakdown by department or person, and written answers come back in shuffled order. Opening the results is recorded in the audit log.

One Go, No Way Back

A person answers once, with no draft, and cannot change it afterwards. Any question can be skipped. Because no sheet is linked to a person, one person’s answers cannot be exported or erased individually.

Open, Close, Run Again

“Open” emails every active person in the audience; after that the questions and audience are fixed. A survey whose audience is smaller than 5 people is refused. “Close” cannot be undone. “Run again” makes a new draft with the same questions, so “Trends” can compare the same question across closed surveys that each met the 5-answer bar.

People Reports (Included From Team)

HR & TalentPeople Reports needs its own permission. For a period you choose it shows five figures — “Headcount”, “Joiners”, “Leavers”, “Turnover” (leavers divided by average headcount) and “Average tenure” — and six breakdowns: by department, by location, by employment type, tenure, leavers by type and leavers by reason. “CSV” downloads the same figures.

Counts Only

The report holds counts and averages, never a list of named people, so the report permission does not open individual files. A group of fewer than three is shown together as “Other”, so no row describes one person.

Where The Figures Come From

Leavers come from departure records, which offboarding writes automatically, so turnover is reported even when nobody fills in a reason. Tenure leaves out people with no start date on file, and the page says how many.

If something here is not working as you expect, start with When something goes wrong.

The plain explanation is above. This part is for IT and developers: the exact settings, permission names, API addresses and data fields behind it. Closed: select the heading above to open it. While it is closed, your browser’s find-on-page (Ctrl+F or Cmd+F) does not search this part.

Permissions Behind This Page

Where the sections above say who may see or do something, this is the permission that is checked. What each permission allows is listed in HR Records, Time Off & Reviews.
