HR Records, Time Off & Reviews
The HR module keeps one employee file per person and builds the rest on top of it: pay history, a document vault, date reminders, time off, goals, review cycles, anonymous surveys, people reports and a hand-off file for whoever runs your payroll. It records and tracks; it does not calculate or pay anything.
Training, phishing simulation and policy signing have their own page: Training, Phishing & Policy Signing.
Access Follows The Reporting Line
Two kinds of access need no permission at all. Every signed-in person can reach their own record. A manager is anyone above a person in the reporting line (the Manager field on each file, followed upwards), and sees a reduced view of the people below them. Everything else — opening any file, pay, setup, reports — is an HR permission, listed in the technical part of this page.
Which Plan Includes What
The employee file itself — employment details, job history, personal details, emergency contacts, the leaving record, My Team and HR Settings — is on every plan. Pay history, the document vault, time off, goals, reviews, surveys, people reports and the payroll hand-off file are included from Team. On a plan without them, those tabs and menu items are not shown. Training is licensed separately and is also included from Team. All Zonitix pricing is per instance, never per seat.

The Pages Of This Reference
The detail of the HR module is on its own pages, one per subject. Each opens with a short description in plain words, followed by the technical part. The list of HR permissions is in the technical part of this page.
- Employee File & Leaving Record: what is on a person’s file, who can see which part, date reminders and the leaving record.
- Org Chart: the chart, its dated snapshots and changing a reporting line from it.
- Pay History, Documents & Payroll Hand-Off: pay history, the document vault and the file for whoever runs your payroll.
- Time Off: types of time off, how days are earned, requests and approval, and who is out.
- Goals & Review Cycles: goals, review cycles and the fairness check.
- Anonymous Surveys & People Reports: anonymous surveys and the People Reports figures.
- HR Settings & Retention: where people data lives, the starting set, and retention for people who have left.
- HR Checks, Limits & Data Objects: the technical reference for all of the above: the check behind each action, states, limits, scheduled jobs and typed fields.
What It Is Not
Not Payroll
Not Benefits Administration
Training (Included From Team)
Training is its own part of the product, under its own licence entitlement, and is no longer a list of links to courses kept elsewhere. Courses are built and taken inside Zonitix: parts to read, video and a knowledge check, with due dates, reminders, renewals and a certificate of completion. People with the permission to manage training run it from the Training section of the menu. Each person finds what they have to do on My WorkMy to-do, next to the policies they have to sign.
The full reference is the page Training, Phishing & Policy Signing. For the step-by-step, see the guides Set up training, Build a learning path and Your to-do list. A person’s training still shows on their employee file, and a manager sees the open and overdue training of the people below them.
If something here is not working as you expect, start with When something goes wrong.
The plain explanation is above. This part is for IT and developers: the exact settings, permission names, API addresses and data fields behind it. Closed: select the heading above to open it. While it is closed, your browser’s find-on-page (Ctrl+F or Cmd+F) does not search this part.
Permissions
The built-in hr_manager role holds all ten of these out of the box. Give them to other people through a role in Access Control. A person’s own record and a manager’s view of their reporting line need none of them.
| Permission | Plan | What It Allows |
|---|---|---|
| view_employee_records | All plans | Open any employee file read-only, including the leaving record. On Team and above, also read documents, time off, goals and training on a file. |
| manage_employee_records | All plans | Edit files, record job changes, emergency contacts and the leaving record; change HR Settings and retention. On Team and above, also upload documents, edit goals and keep the example goals. |
| view_compensation | Team | See the compensation history and reveal one amount at a time. Each reveal is audit-logged. |
| manage_compensation | Team | Add compensation records to a file, and void one entered by mistake. |
| manage_leave | Team | Set up types of time off and working calendars, adjust balances, and approve, decline or cancel any time-off request. |
| manage_employee_reviews | Team | Create and launch review cycles, reassign reviewers, reopen, calibrate, run the fairness check and read reviews. Each read is audit-logged. |
| manage_employee_training | Team | Build courses and learning paths, assign them, see who has completed them, and see who has signed each policy. See Training, Phishing & Policy Signing. |
| manage_employee_surveys | Team | Create, open and close surveys and read their combined results. Never individual answers. |
| view_employee_reports | Team | View People Reports. |
| export_compensation | Team | Build the payroll hand-off file. |
The features marked Included From Team on the HR pages are one licence entitlement, hris. On a plan without it their API routes answer 403. Training is a separate entitlement, training.
