Build a learning path
Put courses in an order, add people, and have each person given the next course as soon as they finish the one before.
Before you start
- A role with the permission to manage employee training. It shows the “TRAINING” section in your menu. The built-in HR manager and security analyst roles have it.
- At least two courses that are in use. Add them first. See Set up training.
- Email set up, so people are told when their next course is assigned. See Set up email.
Create the path
Step 1: Start a new path
Go to TrainingPaths and click “New path”. Enter a “Title” and, if you want, “What it is for (optional)”.
Step 2: Add the courses, in order
Under “Courses, in order”, pick a course in “Add a course”. Repeat for each course. People do them from the top.
Use the arrows on a row to move a course up or down, and the cross to take it out. A path holds from 2 to 20 courses, and a course can be in a path only once. A retired course cannot be added.
Each row shows the course’s days to finish. That number comes from the course, not from the path.
Step 3: Decide about new joiners
Switch on “Give it to new joiners automatically” to put everyone who joins from today on onto the path. This is done by the daily run, once the person has started. People already here are not added by this switch.
Step 4: Save it
Click “Add path”. The path appears as a card with its courses listed in order. Nobody is on it yet.
Add people
Step 5: Put people on the path
On the path’s card, click “People”. Under “Add people”, pick the people and click “Add people”. You can add up to 500 people at a time.
The message tells you what happened: how many were added, how many were already on it, and how many had already done every course.
How the next step is handed out
Step 6: The first course
Each person you add is assigned the first course in the path that they have not already completed. They are told in the app and by email, and the course appears on My WorkMy to-do marked with the path’s name and “step 1 of …”.
What the person does next is in Do a training course you were given.
Step 7: Each course after that
When a person finishes a course, the next one is assigned by itself, with that course’s own days to finish. They are told again. A completion you record for them, with “Mark done” or by importing completions, moves them on in the same way.
A daily run checks everyone who is part-way through and gives the next course to anyone who is not holding it.
Each step is an ordinary assignment of that course. Its due date, reminders and way of finishing are the course’s own, and it is counted on TrainingPeople like any other.Step 8: The end of the path
When the last course is done, the person is marked as finished on the path.
Read the progress
Step 9: On the path's card
The card on TrainingPaths shows how many courses the path has, how many people are in it and what share of them have finished, with a bar.
Step 10: Person by person
Click “People” on the card. The chips at the top count who has finished and who is overdue. The table has four columns:
- “Person”: the name and department.
- “Current step”: the step number and course, with its due date, or the date they finished the path.
- “Done”: how many courses of the path they have done.
- “Started”: the day they were put on the path.
People who have left the company are not listed. A chip says how many are not shown.
Change, pause or delete a path
Step 11: Edit the courses
Click “Edit” on the card to rename the path or to add, remove or reorder courses, then “Save”. People who are part-way through are checked straight away and given their current step if they are not holding it.
Step 12: Pause it
In the editor, switch off “In use”. The card shows “Paused”. Nobody new is put on the path and nobody is moved to their next course. What is already assigned stays assigned.
Step 13: Delete it
In the editor, click “Delete path” and confirm. The path, its order and the list of who is on it are removed. Training people were already given through it stays assigned, and what they completed stays on record.
What you should see
The path’s card reads, for example, “3 courses · 8 people in it · 25% finished”. A path with the new joiner switch on shows a “New joiners” chip.
Each person sees one course of the path at a time on their to-do list, with a line such as “Part of: New-hire security track · step 2 of 3”.
If something goes wrong
- The New path button is greyed out.
- A path needs at least two courses that are in use. Add them under Courses first, or switch a retired course back on.
- The Add path or Save button is greyed out.
- The path needs a title and at least two courses, and none of them may be retired.
- "A retired course cannot stay in a path."
- A course in the path was retired after the path was made. Remove it from the path, or switch the course back on under Courses. Until then the card shows it as "(retired — skipped)" and people skip that step.
- "This path is paused. Switch it back on (Edit) before adding people."
- Click Edit on the path, switch In use back on and save. Then add the people.
- The message says some people "had already done every course".
- They are on the path and already counted as finished. There is nothing for them to do.
- The message says some people "could not be given their first course yet".
- They are on the path. The daily run tries again and assigns the course.
- Someone finished a course and did not get the next one.
- Check that the path is not paused. If it is in use, the daily run gives them the next course.
