Import training done elsewhere, or a SCORM lesson

Bring in the record of training people finished in another system, for one course or for many at once, and add a lesson made in an authoring tool to a course.

For: HRPlan: Team and Advanced

Before you start

  • A role with the permission to manage employee training. In the built-in set, administrators have that permission, and so do members of the “HR Managers” group. The “security_analyst” role has it too; no group carries it, so an administrator gives it to a person by hand, as Roles, groups and permissions shows.
  • The course already exists in Zonitix. Completions are imported onto a course, matched by its title. To make one, see Set up training.
  • For completions: a list of who finished and on what date, with each person’s work email. The people must be active in Zonitix.
  • For a lesson: a SCORM 1.2 package as a .zip file. (SCORM is a common file format that authoring tools export a lesson in.)

Import completions for one course

  1. Step 1: Choose the course

Go to TrainingPeople. Pick the course under “Training item”, then click “Import completions for this item”. The button is greyed out until a course is chosen.

  2. Step 2: Say where the records come from

In “Where these come from”, type at least three characters: for example the name of the other system and the date of its export. This is kept with every imported completion and in the audit log entry for the import.

  3. Step 3: Paste the list

Under “One person per line: email, date completed”, paste one line per person: their email, then the date written like 2026-09-14. A comma, a semicolon or a tab can separate the two.

The line under the box counts how many rows are ready and how many it could not read.

  4. Step 4: Import

Click “Import” followed by the number of rows. If some rows were skipped, the window lists each one with its reason; click “Done”.

Import a file that covers several courses

  1. Step 5: Open the file import

Go to TrainingSettings. On the “Import completions” card, click “Import a file”.

  2. Step 6: Give the source and the file

Fill in “Where this file comes from”. Then click “Choose a CSV file”, or paste the contents into the box below it.

The first line must hold the column names. Three columns are found by their name:

    • The person: “Email” or “Employee number”.
    • The course: “Item” or “Course”. The name must match the title of a course in use; capital letters do not matter.
    • The date: “Completed” or “Date”.
  3. Step 7: Import, and settle any unclear dates

Click “Import” followed by the number of rows. The result shows how many were imported for each course and lists the rows it skipped.

A date such as 03/04/2026 can be read two ways, so it is not guessed. If the result says some dates could be read two ways, choose “Day / month / year” or “Month / day / year” under “Dates in this file are” and click “Import the rest”. Rows already imported are left as they are.

An imported completion is shown in the lists as “Marked by HR”, never as something the person ticked themselves. It rests on your word. If most of a course’s completions are imported, the Compliance Hub shows the course as not yet proven on its own.

Add a SCORM lesson to a course

  1. Step 8: Open a saved course

On TrainingCourses, click “Edit” on the course’s row. A new course has to be saved once before a package can be added to it.

  2. Step 9: Import the package

On the editor’s “Basics” step, in the box headed “SCORM package (optional)”, click “Import a SCORM package (.zip)” and pick the file. A bar shows the upload, then “Checking and unpacking the package…”.

When it is in, the box reads “Imported:” with the lesson’s title, the number of files and the size.

  3. Step 10: Know what the lesson does and does not record

    • The lesson is shown to the person as part of the course. When the lesson reports that it is finished, the person goes on to finish the course the way you chose under “How it is finished”.
    • The lesson’s own score is not recorded.
    • A person cannot stop and carry on later where they left off.

To change the lesson, click “Replace the SCORM package (.zip)”. “Remove the package” deletes its files; completions already recorded are kept.

What you should see

After an import of completions, a message such as “Imported 12 completions” with the course and the source. On TrainingPeople, those people show the course as done, marked “Marked by HR”.

After a package import, the course editor shows the lesson as imported, and people who open the course see the lesson in it.

If something goes wrong

Lines are counted as "not understood"
Each line needs an email, a separator and a date like 2026-09-14. In the one-course import the date must be written year-month-day; fix those lines and the count updates as you type.
A row was skipped
The reason is listed next to it. A row is skipped when the email or employee number is not an active person here, the course is not found, the person is listed twice (the first row is used), or a completion on or after that date is already on record. One bad row never stops the rest.
A date is refused
A date in the future, or more than 5 years ago, is not accepted.
The import is refused for being too long
One import takes at most 5,000 rows. Split the list and import it in parts.
Your own completion will not import
You cannot import your own completion. Ask a colleague who manages training to import that row.
The SCORM package is refused
Only SCORM 1.2 packages with one lesson are accepted, up to 50 MB. A SCORM 2004 package is refused with a message asking you to export it as SCORM 1.2. The file imsmanifest.xml must be at the top level of the zip: zip the package’s contents, not the folder that holds them. The full list of limits is on the Training reference pages.
"Save the course first, then import."
The package is kept with the course, and this course has not been saved yet. Save it, open it again, and import.
